HR Connector: Planday SFTP Setup Guide

Set up an SFTP from your Planday account to automate Yapster people updates

Once you've signed up to Yapster, it's time to set up your HR feed from Planday following the steps outlined below!

With Planday, you are able to set this up yourself so your internal Planday administrator will need to follow the instructions outlined below.

Things you'll need before starting this:

  • Administrator Permissions in Planday

  • The SFTP host and username details - can be requested from Yapster at support@yapster.info


Step 1 - Setup

  1. Login to your Planday administrator account.

  2. Click Create Export --> People --> Employees.

  3. Click Tools --> Export data.

  4. Head to the top of the page and click Create Report.

  5. Tick the box to Include Headers in your report.

  6. Head to the auto SFTP export and choose Select all departments & Select all employee types.

  7. Deselect any unnecessary fields e.g. Birthdays and choose Add Field if needed [reach out to support@yapster.info if you're unsure which fields are needed].

  8. Click Create once you're ready.

  9. Once your report has been created, click Edit and Show details.

  10. Name this export Yapster SFTP.

  11. Head to SFTP authentication and click the drop-down menu to change the option to Public Key.

  12. Download the public key.

  13. Please send this to the Yapster Support Team at support@yapster.info. If you haven't already. please also request the SFTP host and username details.

  14. Enter the SFTP Host and Username details. The Port Number is 22.

  15. Save the file as Customer_Yapster.csv.

  16. Remember to select All Days on the frequency menu.

  17. Save.


Step 2 - Confirm this has been completed to the Yapster Support Team

Once you have established the SFTP, please confirm this to Yapster Support at support@yapster.info

Once received, the Guide Dog Team will inspect the export to ensure data integrity and will be in touch should there be any issues.

Once the export is verified, we will schedule for the connector to be built during the next available sprint. These usually occur every fortnight, although this may vary.


Step 3 - Yapster build the connector

Once your connector is built, your employee details will be populated into your workspace. You (and a select group of early platform users) will receive an invitation to onboard onto Yapster and explore the directory.


A member of the team will also be in touch to discuss and plan out your launch, so should you have any issues or questions regarding the connector or the directory, these can be raised immediately.
