Admin Best Practices: Creating focused role-based yaps

The how and why behind role based yaps

As an administrator or manager, you may want to create focused yaps with your teams to distribute information based on roles. Creating role-based yaps ensures content posted remains relevant to everyone in the yap. It also means your teams will always know where to look to find answers to their questions.

Common role-based yaps include:

  • FOH Team yap (Server, Host, Bar Support, Bartender, Floor Manager, Bar Manager, Supervisor, Deputy Manager, General Manager)

  • BOH Team yap (Kitchen Porter, Prep Chef, Head Chef, Line Chef, Kitchen Manager)

  • Site Management Team yap (General Manager, Deputy Manager, Floor Manager, Bar Manager, Kitchen Manager, Supervisor)

  • Bar Checks yap (Bar Support, Bartender, Bar Manager)

  • Kitchen Clean Down yap (Kitchen Porter, Prep Chef, Head Chef, Line Chef, Kitchen Manager)

  • Weekly Order yap (General Manager, Head Chef, Prep Chef, Deputy Manager, Supervisor, Kitchen Manager)

TOP TIP: Always open these yaps by letting your teams know what they can expect from each individual yap so everyone is happy with why they've been included in the yap.

The main advantage to creating role-based group yaps, instead of adding multiple individuals by name, is that participants are refreshed in our daily imports based on your HR system changes, so:

  • you will never need to add new starters manually to your role-based yaps;

  • as soon as your new starters onboard they will be able to see all group yaps their role has been added to so they won't miss out on content;

  • as soon as job title changes/site transfers are processed (during nightly imports), staff will have access to their new role-based yaps without any manual intervention.


To create your role-based yap:

Step 1: Head to the pencil icon ✏️ in the apps tab and click Start a Yap

Step 2: Select the Add Participants button & Use the search bar to find your location and click the green βž• to add your site to the recipients list. Once added it'll look like this:

Step 3: Click the green Venn diagram to create a filter (We call this the intersect function) You'll now be able to search for the role you'd like to target at your site. Click the green βž• to add the role to your filter.

Step 4: Remember to click SAVE FILTER to move to the next step.

Step 5: Once you're happy with the roles added to your filter, click CONTINUE. (Dont forget to add anyone else into the chat)

Step 6: Add a title to your new role-based yap as well as an image to differentiate your new yap. Once you're ready, click CREATE.
